Part-Time Signing Service Scheduling Assistant

Position Overview

We’re looking for a Part-Time Scheduling Assistant to support our signing service operations on an as-needed basis. This role is designed for someone who is detail-oriented, dependable, and thrives in a fast-paced, client-focused environment.

This is a month to month contract position with flexible hours based on business needs. Compensation & Schedule

  • Pay: $20/hour for AM/PM or weekend shifts.
  • Pay: $25/hour for day shifts.
  • Payment Schedule: Issued on the 5th & 20th of each month via Deluxe eChecks
  • Hours: 8 – 32 hours/week, based on business needs. Shifts will be scheduled in advance.

Responsibilities

On scheduled days, you will serve as the scheduling assistant on duty, including:

  • Managing orders in the portal from start to finish
  • Calling and vetting notaries for the right fit
  • Reviewing documents and sending detailed notes to notaries
  • Monitoring and responding to client and notary emails
  • Checking scanbacks and communicating corrections/approvals
  • Coordinating drop-offs/pickups locally (Maricopa County)
  • Setting up courier pickups and tracking FedEx shipments
  • Communicating with clients and updating the portal
  • Managing invoices, notary lists, and performance reviews
  • Providing a daily report to the Signing Service Owner

Additional Opportunities

  • Extra income opportunities may be available when covering vacations or extended leave.
  • Extended coverage (30+ days) will be compensated via a negotiated salary rate.

Qualifications

  • Strong communication and organization skills
  • Detail-oriented and proactive
  • Team player with problem-solving mindset
  • Prior experience in scheduling, loan signing agent, or notary services is a plus

Contract Terms

  • Month to month contract with the possibility of extension
  • Includes NDA and non-compete agreement (exceptions outlined in contract)
  • 60-day probationary period from contract start date
