Type: Contract (1099) or part-time, flexible based on candidate

About Invision Development LLC

Invision Development LLC is a healthcare-focused commercial construction and real estate development firm based in Lake Mary, FL. We build medical, dental, and veterinary spaces for independent practice owners across Central Florida, and manage projects from permitting through closeout. We're a lean, fast-moving team, and we're looking for a reliable part-time coordinator to help keep projects and bids on track.

What You'll Do

Active project support

  • Track submittals and RFIs — logging status, following up with subs and architects on outstanding items
  • Schedule permit reviews and inspections with local jurisdictions
  • Track subcontractor insurance certificates and follow up on renewals
  • Track project financials
  • Assemble draft payment applications for review
  • Obtain subcontractor and supplier lien waivers monthly
  • Collect closeout documents (warranties, O&M manuals, lien waivers, as-builts) as projects wrap

Bid support

  • Distribute bid packages to subcontractors and track responses
  • Follow up with subs on outstanding bids ahead of due dates
  • Compile incoming sub bids into a leveling spreadsheet
  • Research new jurisdictions we're bidding in — permit requirements, review timelines, inspection processes, impact fees — and document findings for future reference

Notary support

  • Notarize Invision's outgoing lien waivers and sworn statements of account for lender draw packages
  • Must be (or become) a Florida-commissioned notary registered for Remote Online Notarization (RON)

Communication

  • Check email daily and respond within the agreed window
  • Follow up on assigned tasks and flag anything time-sensitive

What We're Looking For

  • Based in Florida, able to work remotely with a dependable daily availability window
  • Prior experience in construction administration, real estate, or a similar coordination role preferred
  • Highly responsive — this role is built around a defined daily window, not "whenever you get to it"
  • Comfortable with Excel/Google Sheets, email, and basic document management
  • Required or willing to obtain: active Florida notary commission + Remote Online Notary (RON) registration (we can discuss timeline/support for certification if not already held)
  • Organized, detail-oriented, comfortable managing multiple open items across several active projects

What This Role Is Not

This is a coordination and admin role, not a project management role. You won't be making scheduling, budget, or subcontractor selection decisions — you'll be gathering information, tracking status, and handling paperwork so those decisions can get made faster.
