Position Overview

This contractor role is for a Notion-first operator who loves building systems and connecting tools. You’ll work closely with the HubSpot Specialist and Agency Account / Marketing Manager to design, build, and maintain Notion workspaces that power client campaigns, reporting, and documentation.

You’ll also help connect Notion and HubSpot where possible (e.g. forms, databases, agents, and workflows) so the team has a single source of truth.

Key Responsibilities

Workspace & Database Design

  • Architect Notion workspaces for agency and client use (databases for campaigns, content, tasks, assets, and reporting).

  • Create and maintain templates for briefs, project plans, meeting notes, and status reports.

  • Set up linked databases, filtered views, and dashboards tailored to each client and stakeholder group.

Automations & Integrations

  • Collaborate with the HubSpot Specialist to connect forms, properties, or events between HubSpot and Notion where feasible.

  • Create and maintain Notion agents and workflows to support recurring tasks (e.g. daily briefs, reporting prompts, QBR prep).

  • Implement forms in Notion to collect structured information from internal teams or clients.

  • Explore and document light-weight automations for syncing statuses, notes, or tasks across tools.

Documentation & Enablement

  • Maintain clear SOPs and how-to documentation inside Notion for recurring processes.

  • Build lightweight onboarding guides so new team members and clients can self-serve.

  • Support the Agency Account / Marketing Manager with dashboards for client health, key dates, and deliverables.

Required Skills & Experience

  • 3+ years of experience designing systems and workflows in Notion (or comparable workspace tools).

  • Comfortable working with databases, relations, rollups (conceptually), and filtered views.

  • Experience documenting processes and creating templates that teams actually use.

  • Familiarity with HubSpot (or similar) and an interest in connecting marketing tools together.

  • Strong organizational skills and a bias toward simplicity and clarity.
